Terms of Service

Solthane is a call answering service operated by VC2 AI LLC, an Ohio limited liability company (“we,” “us”). “You” means the business that signs up for the service. These terms apply to the website at solthanecalls.com, the free trial, and paid service.
Solthane is not an emergency service. It is an answering service for ordinary business calls. It must never be used or advertised as a line for medical, fire, police, gas leak, or any other emergency. Anyone with an emergency should call 911. You will not route emergency, crisis, safety, or life-safety calls to Solthane, and you are responsible for telling your callers how to reach real help.
1. What the service does
Solthane answers calls to a phone number you designate, speaks with the caller, collects the details you tell it to collect — typically name, callback number, service address, and what the job is — and sends you that information, normally by text message and written summary within about a minute of the call ending. Calls are recorded and transcribed. What your setup includes, what it costs, and what is included each month are set out in the order or written quote you accept.
2. Free trial
The trial runs for one week. It requires no card and no contract.
- It does not convert into a paid plan automatically. When the trial ends, the service stops unless you tell us in writing that you want to continue.
- We will not charge you anything during the trial, and there is nothing to cancel.
- Trial call data is handled the same as paid call data and is deleted on request when the trial ends.
3. Signing up and paying
Paid service is billed monthly in advance at the price in your accepted order. Usage above what your plan includes is billed at the rate stated in that order. Invoices are due on receipt unless your order says otherwise, and you pay any applicable taxes. You can cancel with 30 days’ written notice. There is no long-term commitment and no cancellation fee. We may change pricing for a renewal period on 30 days’ written notice.
4. Recording — your obligations
Every Solthane call is recorded and transcribed. Ohio allows recording with one party’s consent; several other states require every party to consent. Because your callers can be anywhere:
- Your greeting must announce that the call is recorded, at the start, before the caller says anything substantive. We will supply the wording and set it up with you at onboarding; confirming it is in place before you take live calls is your responsibility.
- You will not remove, shorten, or disable that announcement, and you will tell us before changing your greeting so we can keep it in.
- You are responsible for any additional disclosure your industry or your state requires.
If you disable the announcement, we may suspend the service, and you accept responsibility for the consequences of calls recorded without it.
5. SMS messaging terms
Solthane sends text messages to you, and where your setup includes it, to your callers.
- By giving us a mobile number, you consent to receive service texts at that number — call notifications, summaries, confirmations, and operational notices.
- Message frequency varies with your call volume. Message and data rates may apply.
- Reply STOP to opt out. Reply HELP for help. Opting out stops the texts, which also stops the call notifications the service depends on.
- If your setup texts your callers, you are responsible for having a lawful basis to text them under the TCPA and any state equivalent, and for honoring their opt-outs. You will not use Solthane to send marketing texts to people who have not consented.
- We do not share your number or your callers’ numbers, or any messaging consent information, with third parties for marketing.
6. Your responsibilities
- You own or lawfully control the phone number you point at the service, and you have the right to have us answer it.
- You will keep your greeting, service area, hours, and call-handling instructions accurate.
- You will not use Solthane for anything unlawful, deceptive, or harassing, and you will not use it to make outbound telemarketing or robocalls.
- You will not route calls that collect protected health information, payment card numbers, Social Security numbers, or similar sensitive data unless we have agreed in writing to handle that.
- You remain responsible for actually calling your customers back. Solthane delivers the message; it does not do the job.
7. AI limitations — read this one
Solthane uses AI voice and transcription. It will sometimes get things wrong. It can mishear a name, a number, or an address; it can misjudge intent; it can fail on a bad connection or a heavy accent; and speech-to-text is never perfect. The recording is available so you can check anything that matters. Confirm details with the customer before you rely on them. We do not warrant that any transcript, summary, or captured detail is accurate or complete.
8. Availability
The service depends on telephone carriers, internet connectivity, and third-party providers we do not control. We aim for continuous availability and we will tell you about planned maintenance, but we do not promise any uptime percentage unless your order includes a written service level, and we are not responsible for carrier outages, number-porting delays, or provider failures outside our control.
9. Ownership
Your call recordings, transcripts, caller details, and business data are yours. We process them to run the service for you and under your instructions, as described in our Privacy Policy. We keep ownership of the Solthane software, configurations, prompts, and methods; you get a non-exclusive right to use the service while your account is active. We do not use your data or your callers’ data to train general-purpose AI models.
10. Confidentiality
Each of us will protect the other’s non-public business information and use it only for this service. This lasts five years from disclosure, and longer for trade secrets or anything protected by law.
11. Disclaimer
Except as expressly stated here, the service is provided “as is” and we disclaim all warranties, express or implied, including merchantability, fitness for a particular purpose, and non-infringement. We do not guarantee business results — no number of booked jobs, captured leads, revenue, or recovered calls.
12. Limitation of liability
Neither of us is liable for indirect, incidental, special, consequential, or punitive damages, or for lost profits, lost revenue, lost business, or lost data, even if warned they were possible. This includes any loss arising from a missed, dropped, misrouted, or mishandled call.
Our total liability for all claims arising out of the service is limited to the greater of $1,000 or the fees you paid us in the twelve months before the event giving rise to the claim. This limit does not apply to fraud, willful misconduct, gross negligence, or any liability that cannot be limited under Ohio law.
13. Indemnity
You will defend and indemnify us against claims arising from your greeting or call-handling instructions, your use of the service in breach of these terms, your messaging to your own customers, or your failure to keep the recording announcement in place.
14. Suspension and termination
Either of us may end the service on 30 days’ written notice, or immediately if the other materially breaches and does not fix it within 30 days of written notice. We may suspend immediately if the service is being used unlawfully, if the recording announcement has been removed, or if a carrier or provider requires it. On termination you pay for service through the end date, and we will make your call data available for export for 30 days before deleting it.
15. Governing law
These terms are governed by the laws of the State of Ohio, without regard to conflict-of-law rules. Any dispute will be resolved in the state or federal courts located in Cuyahoga County, Ohio, and we each consent to that venue.
16. General
If a provision is unenforceable, the rest stays in effect. Not enforcing a right once does not waive it. Neither of us may assign without the other’s consent, except in a merger or sale of substantially all assets. We are independent contractors. These terms plus your accepted order are the entire agreement. We may update these terms by posting a revised version here with a new date; material changes are emailed to active customers and take effect at your next renewal.
