Effective September 7, 2026 · Last updated September 7, 2026
Solthane is a product of VC2 AI LLC, an Ohio limited liability company based in the Cleveland area. In this policy, “we,” “us,” and “Solthane” mean VC2 AI LLC.
Solthane answers the phone for local service businesses. That means this policy has two audiences, and the rules are different for each:
- If you called a business and our system answered — read sections 2 through 5. We handled your call on behalf of that business.
- If you run a business that uses Solthane — read sections 6 through 9.
Calls are recorded and transcribed. When Solthane answers a call, the call is recorded, converted to text, and summarized so the business can read what you needed. The greeting tells you this at the start of the call. If you do not want to be recorded, hang up and contact the business another way — by text, email, or their website.
1. What this website collects
solthanecalls.com is a static page. It has no contact form, no account system, no analytics or advertising scripts, no cookies, and no browser storage. The missed-call calculator runs entirely in your browser; the numbers you type are never sent anywhere.
The page loads typefaces from Google Fonts and links out to Cal.com for booking, so each of those receives standard request data when used. The site is hosted on Cloudflare Pages, which processes request data such as IP address to serve and protect the site. See the Google, Cal.com, and Cloudflare privacy policies.
2. If you called a business that uses Solthane
The business you called decides why it uses Solthane and what happens with your information. That business controls your data. We process it for them, under their instructions. If you want your information corrected or deleted, the fastest route is to ask that business directly — but you can also email us and we will pass the request on and act on it.
What we collect on the call
- Your phone number and, where the network provides it, caller ID name
- An audio recording of the call and a written transcript of it
- The details you give during the call — your name, the service address, what the job is, when you want it done, and how to reach you
- Time, date, and length of the call, and whether it was answered or missed
What we do with it
- Pass the message to the business, normally as a text message and a written summary within a minute of the call ending
- Let the business review the recording and transcript so they can serve you
- Keep a record of the call for the business’s own operations
- Monitor and improve how the system handles calls
We do not sell your information. We do not rent it, and we do not hand it to anyone for their own marketing. Your phone number and any messaging consent are never shared with third parties or affiliates for marketing or promotional purposes.
3. Recording and the law
Ohio permits recording a call with the consent of one party. Other states require everyone on the call to consent. Because of that, businesses using Solthane are contractually required to announce recording in their greeting, at the start, before you say anything substantive. Continuing the call after that announcement is your consent to be recorded. If you reach a Solthane-answered line that did not announce recording, tell us at the address in section 11 and we will take it up with that business.
4. Text messages
If a business using Solthane texts you — for example, a confirmation or a follow-up after a missed call — message and data rates may apply and message frequency varies with your inquiry. Reply STOP to any message to opt out. Reply HELP for help. Opting out of texts does not stop you from calling the business.
5. How long recordings are kept
Recordings, transcripts, and call records are kept for as long as the business needs them for its operations, and in any case no longer than the retention period agreed with that business. When a business stops using Solthane, its call data is deleted or returned within 30 days of a written request, except where a law requires us to keep it. You can ask us to delete a specific call recording and we will do it unless the business needs it for an active job or a legal reason.
6. If your business uses Solthane
To set up and run your service we hold your business name and address, your contact details, the phone numbers involved, your greeting and call-handling instructions, your service area and pricing rules, and billing information. We use that to operate the service, support you, invoice you, and tell you about changes that affect your account.
The calls, recordings, transcripts, and caller details flowing through your account are yours. We process them on your instructions and for no other purpose. We do not use your call data or your customers’ data to train general-purpose AI models, and we do not permit it to be used that way through any provider setting we control.
7. Who we share data with
We use a small number of providers to make calls work. They act on our behalf and are not permitted to use the data for their own purposes:
| Provider | What it does |
|---|---|
| Twilio | Phone numbers, call delivery, and SMS delivery |
| Vapi | AI voice call handling, speech-to-text, and transcription |
| Cloudflare | Website hosting and network protection |
| Cal.com | Scheduling, where booking is part of your setup |
Each provider maintains its own privacy policy. We will name any additional provider involved in your account on request and before it goes into production. We may also disclose information if the law requires it, or to protect our rights or someone’s safety.
8. Security
We use access controls, credential managers, and least-privilege access on the systems we operate, and we ask that client credentials be handed over in a password manager rather than by email or chat. Call recordings and transcripts are restricted to the account they belong to. No method of transmission or storage is perfectly secure, and we do not claim otherwise. If a security incident affects your data, we will tell you promptly and work with you on what has to happen next.
9. Your rights
Whether you are a caller or a customer, you can ask us what information we hold about you, ask us to correct it, ask us to delete it, or ask us to stop contacting you. Email vanwayne@getsolthane.com and we will handle it. We will not treat you differently for asking. Where a state privacy law gives you additional rights, we will honor requests made under it at the same address.
10. Do Not Track, children, and changes
This website does not track you across sites and does not respond to Do Not Track signals. Solthane is sold to businesses and is not directed to anyone under 18; we do not knowingly collect information from children. If we change this policy we will update the date at the top of the page, and we will email active customers about material changes.
